Fundraising Policy
Introduction
As a non-profit organization, Blue Jays Netball Club operates in large part from fundraising and registrations. In order to try and keep our registrations down, we choose our fundraisers carefully and responsibly, using criteria such as applicability to youth, ease of sales, and low price vs high return.
The Committee of Blue Jays Netball Club is committed to ensuring that fundraising activities are carried out in an ethical manner.
Registered families are encouraged to participate in designated Blue Jays Netball Club fundraisers to the maximum extent possible.
All profits of the fundraising will be returned to the Club and will be used to fund projects deemed suitable by the Blue Jays Netball Club Committee. Such projects will benefit the majority of the Blue Jays Netball Club members.
This policy applies to the Committee, club members, parents and volunteers.
Purpose
The purpose of this document is to identify Blue Jays Netball Club’s position on fundraising practice and to document the standards expected in raising funds from the community.
For the purposes of this policy, ‘fundraising’ is defined as the solicitation of money within the club’s members or larger community in order to fund, create, or enhance any project/event/entity that is not covered by the operating budget. Fundraisers should promote unity and spirit by creating opportunities for players and parents to work together to accomplish mutual goals.
Policy
Blue Jays Netball Club’s guiding fundraising principle is a simple one – we will only use techniques that we would be happy to be used on ourselves.
In doing so, the club will adhere to the following standards:
- Fundraising activities carried out by Blue Jays Netball Club will comply with all relevant laws.
- Any communications to the public made in the course of carrying out a fundraising activity shall be truthful and non-deceptive.
- All monies raised via fundraising activities will be for the stated purpose of the appeal and will comply with the organisation’s stated mission and purpose.
- All personal information collected by Blue Jays Netball Club is confidential and is not for sale or to be given away or disclosed to any third party without consent.
- Nobody volunteering for Blue Jays Netball Club shall accept commissions, bonuses or payments for fundraising activities on behalf of the organisation.
- No general solicitations shall be undertaken by telephone or door-to-door.
- Fundraising activities should not be undertaken if they may be detrimental to the good name or community standing of Blue Jays Netball club.
- Financial contributions will only be accepted from companies, organisations and individuals the Committee considers ethical. Companies and organisations specifically excluded from making financial contributions to Blue Jays Netball Club include pharmaceutical/gambling/tobacco/alcohol companies.
Fundraising Standards
- The Club does not employ or condone methods that target vulnerable people or apply coercive pressure.
- Privacy Law is applied to all data and records for fundraising.
- Information about the Club’s fundraising methods is available to members of the public, journalists, supporters and others with a legitimate interest.
- Fundraising strategies and costs are reviewed regularly, and the club monitors the conduct of volunteers involved in fundraising on its behalf.
- All members are required to comply with relevant Club policies, as well as all relevant state and federal regulations. Any alleged or confirmed breaches of good conduct are taken seriously and investigated.
Responsibilities
The Committee is responsible for the implementation and review of this policy.
All Committee members, club members, parents and volunteers are responsible for adhering to this policy.
Procedures
A Fundraising Coordinator will be appointed to oversee the major fundraising tasks. The Fundraising Coordinator will report regularly to the Committee, including tabling of meeting minutes at Committee meetings.
All fundraising activities must have the prior approval of the Committee, as recorded in Committee meeting minutes.
A statement estimating income and expenses will be prepared prior to the commencement of any new fundraising activity that may present a financial risk to Blue Jays Netball Club. Fundraising activities should not be undertaken if they will expose the organisation to significant financial risk.
The Fundraising Coordinator will keep accounting records for each fundraising activity and a ticketing register for all raffle tickets issued/returned. The names of ticket purchasers should be written on ticket stubs with contact details.
The Club Secretary will maintain a master register of fundraising events conducted for the season.
All monies both in and out will be recorded by the Club Treasurer in a separate fundraising cashbook.
